How to stop taking bodyshop orders on WhatsApp

WhatsApp is free, everyone has it, and your customers like it. That's why so many paint suppliers end up running their order book through it. But a trade counter that runs on messages has problems that grow with every new customer.

What phone and WhatsApp ordering really costs you

    • Orders get lost in the chat. A message sent at 7pm sits under twenty others by the morning.
    • Details get misread. A product code in a photo, a quantity in a voice note, "same as last time" with no record of last time.
    • The counter becomes a call centre. Every "where's my order?" call is time not spent mixing, picking or selling.
    • Nothing is recorded properly. There's no clean history of who ordered what, when, and at what price.
    • It depends on one person's phone. When they're off, the orders are too.

    Why customers keep using WhatsApp

It isn't because they love it. It's because it's quick, it's always in their pocket, and ordering any other way has been slower. If you want bodyshops to change, the new way has to be at least as easy as a message. That means:

    • On their phone, with no app to install.
    • Their usual products one tap away.
    • Their prices already applied.
    • A clear answer to "has it been received, and when's it coming?"

A practical way to move customers across

    1. Start with your regulars. Pick five customers who order most often and set them up first.
    2. Pre-load what they usually buy. If their favourite products are already there, their first order takes less than a minute.
    3. Show them once, in person. A two-minute demo on their own phone, next time your driver or rep is there.
    4. Reply to WhatsApp orders with the link. Keep accepting them at first, but send a friendly link to their portal each time.
    5. Make it the better option. Customers who order online can see their order status, invoices and history without calling. Tell them that.
    6. Set a date. Once most regulars are ordering online, agree a cut-off for message orders.
